Finance Manager
Position Purpose
Assists in administering finance-related systems, including the accounting software; ensures accuracy of the general ledger, accounts payable, and purchase orders; ensures all reports are accurate, internally consistent and complete, as well as issued in a timely manner; and provides backup for payroll functions and various support to Finance staff.
The Finance Manager will be responsible for duties including, but not limited to:
Systems Management
- Assists in administering the accounting system, including administration and setup functions; setting up reports and tables; acting as liaison between finance staff and the software provider; resolving all issues as they arise
- Assisting the Treasurer and Controller in the search for and transition to new accounting software
- Take full charge of Concur administration and the processing of all credit card and employee reimbursement transactions, from report submission in Concur through the successful import into the accounting system
- Administering credit card chargebacks
General Ledger
- Preparing monthly journal entries and account reconciliations
- Maintaining the chart of accounts, adding new accounts, projects, and queries in the accounting software
- Calculating and entering direct overhead and indirect costs each month
- Analyzing, reconciling, and evaluating the accuracy of general ledger, and preparing and distributing monthly financial reports
Accounts Payable and Accounts Receivable
- Entering and maintaining all purchase orders in the accounting system
- Providing guidance and consultation to managers on accounts payable and report questions; anticipating and resolving issues as they arise
- Reviewing AP invoices prior to payment
Other
- Providing support to the Treasurer and Controller during audit season
- Acting as liaison with our insurance broker and insurance companies, to support insurance activities
- Preparing nonresident independent contractor withholding returns and annual sales tax return
- Ensuring compliance with Carnegie’s fiscal policies, budget guidelines, and internal controls, including updating documentation
- Cross-training to provide backup for other Finance functions
- Other related duties as assigned
Education and Experience
- Bachelor’s Degree in a related field required
- 4-5 years AP and/or GL experience required
- Prior nonprofit accounting experience preferred
- Familiarity with mid-level accounting programs required; familiarity with online expense management platforms and payroll processing preferred
Required Qualifications
- Must be proficient in Excel with intermediate to advanced skills (using pivot tables, VLookup, etc.)
- Must be flexible, dependable, and able to juggle multiple priorities without missing deadlines
- Possess proficient communication and interpersonal skills and have an internal customer service focus; experience with the highly educated preferred
- Ability to act and operate independently with minimal daily direction
- Ability to work both at the office and at home/away from the office
- Possess an improvement mindset, able to bring continuous improvement to systems and processes
- Ability to work cooperatively and collaboratively in teams, and with all levels of employees to maximize performance, creativity, and problem solving
- Willingness to pitch in to do whatever it takes to get the job done right and expeditiously
